Title: Specialist, Continuing Education

Reports to: Director, Continuing Education
In this role, you will support the CE department in all aspects of continuing education by providing top notch experiences for our CE in-person and virtual events that keep our members at the forefront of clinical excellence, practice management, and emerging innovations in oral health. Position Overview:
The Continuing Education (CE) Specialist is responsible for supporting the CE Department in all activities, including those related to the Annual Meeting and other AAP-sponsored and collaborative CE in-person and/or virtual events. This role reports to the Director, Continuing Education, and also supports the work of the Continuing Education Oversight Committee (CEOC) and related subcommittees, as appropriate.
Essential Functions:
Continuing Education:
- Supports the CE department in planning and managing projects for the Annual Meeting, including database (i.e., Personify360) and software maintenance (i.e., Cadmium).
- Assists in the preparation and organization of materials for in-person and virtual Continuing Education (CE) programs. Responsibilities include maintaining speaker and moderator documentation, coordinating CE materials, and updating CE content on the AAP website, mobile app, and related platforms, as well as editing and proofreading materials as assigned.
- Attends the yearly AAP Annual Meeting, providing full-time operational support for CE sessions and speaker and moderator assistance.
- Documents activities related to compliance with ADA CERP and California Dental Board requirements and policies, ensuring the AAP maintains its professional reputation and provider status.
- Facilitates the work of the Continuing Education Oversight Committee (CEOC), issuing routine correspondence, developing project timelines and work plans, assisting with production of agendas and related materials, and coordinating onsite logistics for the annual committee meeting.
- Administers CE requirements, including generating attendance and revenue reports, and creating and disseminating participant CE certificates.
- Along with members of the Meetings Department and the Director, Continuing Education attends and provides feedback on site visits for future Annual Meetings.
- Responds to member inquiries, directs members to AAP resources, and enlists assistance from vendors as needed.
- Collaborate with Membership, Meetings, IT, MarCom, and other departments.
- Facilitates live webinars in a behind-the-scenes hosting capacity, as needed.
- Provides administrative support to the CE department, as needed.
Qualifications:
Education/Experience
- Bachelor’s degree preferred with an interest in adult education, association experience, meeting planning, and/or project management.
- Minimum of 2+ years of experience in continuing education, meeting planning, association management, content development, or related field.
Communication/Abilities:
- Organizational Skills: Organized and efficient, maintains calendars and balances concurrent priorities and deadlines, tracks projects throughout the development process, and ensures that work is submitted on time with limited supervision.
- Writing Proficiency: Displays a strong knowledge of English grammar and the ability to create clear, engaging, and informative text.
- Customer Service Oriented: Responds promptly and professionally to members and colleagues, demonstrating approachability, attention to detail, and a commitment to meeting their needs in a timely manner.
- Professionalism: Strong interpersonal skills; ability to communicate with volunteers, members, vendors, and staff at all levels and in a positive and professional manner.
- Reliability: Ability to work early mornings, late evenings, and weekends periodically and travel at least once a year to support Annual Meeting operations.
Technical Skills:
- Tech-savvy professional.
- Experience with Content Management Systems (i.e., Cadmium, Abila Freestone)
- Proficiency with Microsoft Office Suite; experience with Personify360 and Adobe Acrobat a plus
- Aptitude for web-based platforms and e-learning systems
- Knowledge of AP style a plus

- Excellent project management skills: ability to prioritize, multi-task, and meet deadlines
